The Gmail problem in a medical practice

A surprising number of practices still run on a consumer address, usually because it worked when there was one clinician and never got revisited. Two things break as soon as there is more than one.

The first is ownership. A consumer account belongs to the person who created it. When a partner leaves, or a locum finishes, or someone is unreachable, there is no administrator who can reassign the address, audit what was in it, or export it. Correspondence about live patients leaves with the account.

The second is credibility at exactly the wrong moment. A patient deciding whether a message about their results is genuine has very little to go on. A practice domain helps. A verification page they can open helps more.

What changes with a practice domain

Mailboxes belong to the practice. An administrator can suspend an account, forward or reassign the address, and export the mailbox in full. Shared addresses like reception@ and billing@ are real inboxes with their own access rules rather than an alias pointed at somebody's personal account.

We describe our infrastructure controls plainly — AES-256 at rest, TLS 1.3 in transit, per-mailbox access logging, retention and export — and we do not claim they make your practice compliant, because no mail provider can. We do not currently offer a business associate agreement. If that is a firm requirement for you today, you should choose a vendor that provides one.

Common questions

Why not just use a Gmail address for the practice?+

Two reasons. A free consumer address signals that the practice is small or improvised, at exactly the moment a patient is deciding whether to trust it. And a consumer account gives you no admin control: when a partner or a locum leaves, you cannot reassign the mailbox, audit what was in it, or export it.

How does verification work for physicians?+

We check the credential you supply against the public NPI registry and confirm the match by hand before issuing the badge. Patients can then open your verification page and see that the address belongs to the clinician named on it.

Can I run several practice locations from one account?+

What happens to a departing clinician’s mailbox?+
